Though many consumers may not realize it, they may be paying too much for their current office phone systems. Service providers today know that the industry has become just as completive based on price as it is actual service; however, despite this knowledge, these companies don’t advertise it. Instead, providers continue to charge rates based on their own standards as opposed to market competition, which has led to gross overpayment. So, we have put together a list containing five ways to help you determine if you’re paying too much for your current system.

Determine Your Needs: While many phone systems offer a host of different service features, they are not meant for everyone. It is important to determine the features you need before selecting a phone system. In knowing what you want or need, you can avoid overpaying for services that you’re never going to use. Many features come as add-ons with plans; therefore, if you’re not going to use or need service(s) or feature(s) of a system, don’t pay for it. If you’re paying for things you don’t need, you’re overpaying for service by default.  So, to avoid overpaying determine what you need and discard the rest.

Explore Market Availability: If you receive your monthly bill and find that the price does not fit the services you receive, it may be best to explore your options. Though compiling a list of phone system options can be time consuming and difficult, it can ultimately shed light on your pricing situation. Again, knowing the features you require plays a big part in figuring your best options. Look at other companies’ features and pricing to gauge whether or not you are paying fairly. If not, then you have the information you need to switch your system. If so, then you can rest assured knowing you’re paying fairly. Additionally, you may be overpaying for a system if it is not as commonly available. Pursuing the right system features/services should not lead you to pay more. Pricing is always subject to availability; however, this mindset can still lead you to pay a ton more than you have to. Check reviews and company histories to determine if the pricing is fair even in correlation to the availability.

Research Reviews: Overpaying can occur when second rate services offer standard or slightly lowered pricing reflective of the market. While some phone systems’ pricing may seem fair or low, it may in fact be due to a lack of quality. If you are experiencing a number of issues with your system, and are paying competitive pricing, you qualify as overpaying. Pricing should reflect the system, if you have a cut rate system, the pricing should be reflective of it. By researching the system (through reviews, releases, etc.) you can better gauge the level of quality of the system. Additionally, you can then better determine if the price fits the system based on quality. While helpful, consumer ratings and reviews should be not be users’ sole source. Many companies manipulate or omit negative reviews to retain their image; therefore, reviews work best as supplemental tools.

Check Your Monthly Bills: As customers may stay with providers over long periods of time, pricing and service plans can change. Where a long distance plan previously cost $100 a month, now it costs only $50.00 a month; however, companies do not notify customers of changes like this. Instead, you must review your bills monthly and determine if the pricing is fair, or if there are better options available. In doing this, you can move to contact your provider to dispute overages and/or ask about newer plans and pricing options.

Agreements in Writing: When selecting a phone system it is important to establish a set monthly cost, or contract agreement which stipulates the cost, to avoid fluctuations and/or overcharging. However, inversely, contracts typically lock customers into set prices for a long period of time. So while contracts can help stabilize pricing, non contract services may be the best long term solution as cheaper pricing could become available.

While there are a number of ways to determine if you are overpaying for your current phone system, all are relative to your individual needs. Overpaying can be very subjective, and as a result, it important to know the type of system you want before committing to one. It is also important to stay involved with reviewing your bills. If you start to see any deviations or discrepancies arising monthly, address them immediately. Though overpaying is common, it is easily avoidable.
